Terms and Conditions

STA TRAVEL INC. NOTICES, TERMS AND CONDITIONS

We are STA Travel Inc. and we look forward to the opportunity to act as your booking agent for your travel needs. These terms and conditions (the "Agreement") describe what you are legally entitled to expect from us when you purchase travel related services through us, in addition to your obligations as a customer. The terms "we", "us", "our", and “STA” refer to STA Travel Inc. The terms "you” and “your” refer to the customer visiting our website, booking a reservation through us or otherwise using our services.

1. Our Agreement With You


Products and Suppliers
We sell a variety of travel related products from different suppliers and service providers ("Suppliers"). Each supplier has its own terms and condition that are applicable to your particular arrangements, in addition to our general terms and conditions, and you should make sure you understand them. Certain software and content found on our website, are owned or licensed by us or our suppliers, your use of which may be subject to further conditions. Our website, which is referred to throughout this Agreement, is www.statravel.com.
STA Travel is acting as intermediary or a "Booking Agent" for products and services that are not directly supplied by us (e.g., air carriage and ground transportation, hotel accommodations, meals, tours, cruises, etc.). We are not a co-vendor of such products and services. You will be entering into a separate contract with such suppliers in connection with such products and services.

Third Party Suppliers
STA acts as liaison between airline carriers, tour operators, and 3rd party suppliers to provide a wide range of product offerings to customers. STA does not operate, nor are they responsible, for operations of 3rd party vendors. Customers acknowledge that personal information may be shared as necessary between STA Travel and vendors. Payment
STA Travel does not accept cash or personal checks as a method of payment. No additional charge is made for payments made by credit or debit card. After full payment, if we are your Booking Agent, the conditions of the contract with your airline or other supplier of travel services may permit them to increase the cost of your arrangements. We will pass on the details of any increase, and we will collect additional amounts from you on behalf of the airline or other supplier of travel services, as their agent.
 

 

Book Now Pay Later Deposits

 Book Now, Pay Later airfare deposit

Book Now, Pay Later airfare deposit are available on selected STA Travel international airfares if booking more than 60 days prior to departure.  Book Now, Pay Later is not available for domestic airfares. Deposits start from $49 per ticket.  All lay-by deposits are payable at the time of booking and are non-refundable and non-transferable. The price of your ticket will be guaranteed only upon receipt of a non-refundable deposit. If required for the selected airfare, travellers must be in possession of an ISIC, ITIC, or IYTC at time of deposit.

All deposits must be made over the phone with an STA Travel Expert.

Once the deposit has been paid, any change to your flight itinerary (including changes to travel dates, routes, air carriers) will incur a change or cancellation penalty as outlined on your booking confirmation. Full payment is due 60 days prior to your scheduled departure. Cancellation of the booking or failure to meet the final payment, will result in the ticket being cancelled and the loss of deposit. Following cancellation, re-booking will be subject to the price of the product(s) at the time of re-booking. The original price and availability cannot be guaranteed.

 

Accommodation Deposit Terms & Conditions: 

The Accommodation deposit is available on selected accommodation packages, room types and destinations. The accommodation Deposit start from $50, but vary, depending on the accommodation. The exact deposit amount will be confirmed by your Travel Expert. The price of your accommodation package will be guaranteed only upon receipt of the deposit. If required, travelers must be in possession of an ISIC, ITIC, or IYTC at the time of deposit.

Once the deposit has been paid, any change to your accommodation (including changes to travel dates, name changes, length of stay, room type or number of travelling passengers) will incur change or cancellation penalties as outlined on your booking confirmation. Full payment is due 60 days in advance of your first schedule night stay (or date as outlined on your booking confirmation). Cancellation of the booking or failure to meet the final payment, will result in the booking being cancelled and the loss of deposit. Following cancellation, re-booking will be subject to the price of the product(s) at the time of re-booking. The original price and availability cannot be guaranteed.


Tour Deposits

STA Travel tour deposit is available on selected 3rd party touring suppliers. Any tour available for this deposit requires a non-refundable, non-transferable deposit that is payable at time of booking. All deposits are per person, per tour. The deposit amount varies depending on the product and supplier and in some instances full payment is required at time of booking. The deposit is taken as part payment towards the full price of the tour. Upon receipt of the deposit your tour space and the price will be confirmed. Cancellation of the tour will result in loss of deposit, with the exception of G Adventures (Lifetime deposit) and Contiki (FlexDeposit). Changes to the tour booking will be subject to the price of the product(s) at the time of change but has no effect on the deposit already paid. The original price and availability cannot be guaranteed. At the time of booking you will be notified of when full payment is due, this will always be prior to departure from the US. Failure to meet this payment date will result in the tour booking being cancelled with loss of deposit.

 

 

Documentation
Our general practice is to send documents to our customers electronically whenever possible. We reserve the right to charge a postage fee should you make a request for such documents to be sent as a hard copy.


Cancellations and Changes
Your contract with your suppliers may allow them to cancel or amend bookings. If we are your Booking Agent, we will ensure that you are promptly notified of any significant changes once we become aware of such change if there is time before your departure, but we accept no liability for any changes or costs incurred that may result. Subject to the supplier's terms and conditions, you will then have the choice of accepting the change of arrangements, accepting an offer of alternative travel arrangements if one is made available by the supplier, or cancelling your booked arrangements and receiving any applicable refunds. We do not guarantee that any refunds will apply.


If you have booked a flight and we are alerted to a significant schedule change by your airline before you depart, we will contact you by email to advise you of this. If change is same day, or within 24 hours, you may be contacted by the airline if you have provided your contact details to the carrier. Please ensure that you have given your contact email address to us and that you regularly check for messages before you leave. We have no control over airline schedule changes and accept no liability for costs which may arise due to such changes.


After you have departed, it is your responsibility to check with the airline that any onward flights you have confirmed are operating as booked. We strongly recommend that you check your itinerary on the airlines website at least 72 hours before the scheduled departure of each flight to do this.


Right of California Customer to Make Claim on the California Travel Consumer Restitution Fund
You may be eligible for a refund for losses to a registered seller of travel that participates in the California state refund program. If you were located in California at the time of your purchase, you may have a right to file a claim for loses with the California Travel Consumer Restitution Corporation. Certain restrictions apply. 2. Your Agreement With Us


Your Acceptance of these Terms and Conditions


By booking your arrangement with us or using our website, you are agreeing to be bound by the terms of this Agreement, including Parts 1-3 of this Agreement and any additional terms and conditions of any supplier that are applicable to your booking, travel arrangements or use of any website content. You agree on behalf of yourself and those you represent to comply with all such terms and conditions, including the payment of all amounts when due. You agree that any violation of any such terms and conditions may result in (a) the cancellation of your reservation or purchase, (b) your forfeiture of any monies paid for your reservation or purchase, (c) you being denied access to the applicable travel related product or service, and (d) our right to debit your account for any costs we incur as a result of such violation.


You represent and warrant that (a) you are of sufficient age to use our services and website and can create binding legal obligations in connection with your use, (b) you are legally authorized to act on behalf of those you represent and accept these terms and conditions on their behalf, and (c) the information supplied by you or members of your group is true and correct. You are responsible for informing such other persons of all terms and conditions applicable to their travel arrangements. You understand that you are financially responsible for any use of our services or website by you and those using your name or account.


Airfare Terms and Conditions
Air pricing posted on statravel.com are per person and include all applicable taxes, fees and surcharges including, but not limited to: USA Passenger Civil Aviation Security Service fee of $5.60 per OW, not to exceed $11.20 for a roundtrip fare; Passenger Facility Charges of up to $18, depending on itinerary; Federal Segment Fees of $4.20 per segment; airline-imposed fuel surcharges of up to $800; foreign and U.S. Government-imposed charges of up to $400 per international round-trip flight; and STA Travel Booking Fees of up to $30. Taxes, fees and surcharges vary depending on routing, cabin of service, and destination. A flight segment is defined as one takeoff and one landing. Fares are subject to availability and change without notice.
Airfares shown on our website reflect airfare recently seen and/or purchased at statravel.com and were valid at time of publication. Prices may vary based on availability, routing, fluctuations in currency, and day of week. If the listed airfare is not available, different fares and/or airlines may be offered. Any airline logos shown, if applicable, reflect the ticketing carrier for recently seen and/or purchased fare. Many air carriers offer itineraries include codeshare service with other air carriers, including foreign carriers and/or commuter carriers operating turboprop aircraft. Any codeshare service, if applicable, will be display on the flights results page immediately after an airfare search.


STA Travel provides air tickets for customers of all ages; however, some of our airfare is available just to full-time students, teachers at accredited schools, and youth travellers under the age of 26 or 31, depending on the fare. These special fares may have age restrictions and/or other eligibility requirements including possession of valid ID Cards. Additional airline imposed fees for optional services including baggage, seat assignments, meals and other products may apply and are payable at check-in.


If You Change Your Booking
If you request a change to your itinerary, and the change is permitted and possible, our standard service fees starting from USD 75  will apply in addition to any additional supplier charges. Please contact your original booking agent to enquire about changes or review the 'Travel Help' section of www.statravel.com for details on how to request changes. Please note that all reservation changes are subject to availability and the terms and conditions of the product purchased. For emergency changes, please contact Travel Help at 1-800-781-4040 or  +44 151 808 0409.
Changes to passenger details are not allowed by many airlines and other suppliers. While we will endeavour to make such a change if necessary, please bear in mind that most airlines and suppliers treat a name change as a cancellation, to which the conditions and charges per booking confirmation would apply. If you enter the incorrect name and the airline will accept a name correction, an STA Travel fee of USD 75 will apply plus any applicable airline/supplier fee. 


Flights must be taken in the sequence they appear on your ticket confirmation. If you plan not to take a flight as booked, please contact the airline as far in advance as possible to discuss your options. If you do not check in on time for a confirmed reservation, the airline may register you as a 'no-show', which could result in extra charges and/or your whole flight itinerary being cancelled and/or render your ticket void.

 


If You Cancel Your Booking
If you cancel your arrangements, you may be entitled to a refund; however, many airline tickets or supplier products may be totally non-refundable. In addition to the cancellation terms and conditions of your supplier(s), our standard fees will apply as may be outlined on your receipt or booking confirmation. If you decide to cancel arrangements before the balance due date, any deposits paid are non-refundable.


Refunds will only be paid to you once we have received the funds back from the supplier(s). Generally, flight tickets cannot be refunded if they are partially used. We are not responsible for a supplier's failure to pay a refund.


If the reason for your cancellation is covered under the terms of any purchased travel insurance policy, you may be able to reclaim some funds by filing a claim with your insurer. Check your insurance policies terms and conditions for cancelation coverage.


STA reserves the right to charge a cancelation fee in addition to any airline/supplier fees, for any voluntary refund requests. STA fees may vary based on products purchased, and booking channel. STA cancelation fees are starting from $250 per item.

 

Important Notice Regarding Airline Reservations
If airline baggage is not listed as included on your itinerary, baggage can be checked on the airlines website. Note: Some fares, including Basic Economy, may not include checked and/or hand luggage, please check your itinerary carefully.


Whenever the carrier allows, please check-in for your flights on the airlines website. Most carriers will allow online check-in 24 hours from departure. Some carriers will not allow seat selection until check-in.


If you arrive at an airline ticket or passenger check-in counter with your confirmed ticket and find that the airline shows no reservation for you - do not leave the counter. Present all relative booking information to the customer service agent. You may need to call our Travel Help team to expedite a resolution.


MultiFLEX Terms 
We will only sell you a MultiFLEX Pass if you have changeable flight tickets as part of your itinerary. If you have lots of flights (e.g. on a
round-the-world trip), you may have some tickets that aren’t changeable and other tickets that you can change. Please confirm with a Travel Expert before purchasing that you are on an eligible ticket.
 
If you have purchased your flight ticket and MultiFLEX Pass online, we will contact you if your flight ticket is not eligible.
 
Making date changes (even on changeable tickets) usually incurs change fees and sometimes there is a difference between the fare for your original ticket and the one you want to change to. Your MultiFLEX Pass means that you won’t pay change fees, but you will still need to pay any fare difference if you want to change to a more expensive flight, or there are additional taxes which apply.
 
Changing flights at the last minute is likely to mean there is a higher fare difference, so we recommend making changes as early as possible.
 
MultiFLEX Passes can only be redeemed for date changes on flights booked as part of the named passenger’s original itinerary. MultiFLEX Passes are not transferable. A new trip requires a new MultiFLEX pass. There may be instances where you have purchased the MultiFLEX pass in conjunction with a ticket which is subject to a schedule change by the airline. In these instances, the airline may take ownership of the ticket and standard airline date change fees will apply. This means that the MultiFLEX pass can no longer be utilised for this flight so the MultiFLEX cost will be refunded in full to you, unless you choose to retain it to be used with other flights as part of your itinerary.

All date changes are subject to availability and ticket conditions. MultiFLEX Passes do not change the rules of your purchased ticket, e.g. maximum stay validity or booking class. For example, if your ticket only allows you to stay for a year, then you can’t change to a date beyond this point using your MultiFLEX Pass. Please contact your Travel Expert for more information about this, e.g. the maximum length of stay on your ticket.
 
The MultiFLEX Pass is only valid in conjunction with selected economy class tickets.

  • One Date Change Pass – 1 date change - can only be purchased before full payment of your booking.
  • Three Date Change Pass – 3 date changes – can only be purchased before full payment of your booking.
  • Unlimited Date Change Pass – unlimited date changes – can only be purchased before full payment of your booking.
  • Post Departure Change Pass - 3 date changes – can only be purchased after depature.

 

You can only change the date of your flight before you leave the US if you have purchased the Unlimited Change Pass– to do this, please call our call center at 800-781-4040. Date changes before you leave the US are not covered on the One Change or Three Change MultiFLEX Passes and these changes will incur change fees, as well as any difference in the fare and applicable taxes. 

 

After you have left the US, date changes using the MultiFLEX Pass can be redeemed by contacting our Global Travel Help Team using this form.  

 
You can’t make a date change for a flight you have already missed. Missing your flight may also affect remaining segments of your journey, possibly resulting in a new purchase being required. Please contact our call center at 800-781-4040 if you have missed a flight, if you have left the US then please contact Global travel help using
this form.

 
Your MultiFLEX Pass covers date changes only. MultiFLEX Passes cannot be used to change the name of the passenger. If you wish to change your destination (known as re-routing) and there are change fees involved in doing so, these fees will not be covered by the MultiFLEX Pass. If the fare for the new destination is more expensive, then you will have to pay the fare increase and any applicable taxes as well. Please note that other restrictions may apply to rerouting your ticket.

The MultiFLEX Pass is non-refundable.

 


If You Have a Complaint
If you have a problem during your trip, please inform the relevant supplier (e.g. your hotel, airline) immediately. Should they be unable to resolve the matter, please immediately contact us in the United States, either through the office where you made your arrangements, or via our website at https://customercare.statravel.com/hc/en-us.If you fail to timely contact us, we will not be permitted the opportunity to investigate your complaint and attempt to rectify any error while you are away, and this may affect your rights under this Agreement. 

 

Travel Documents and Destinations
It is your responsibility to ensure that all of the details on your travel documents are correct, and to urgently bring any errors or discrepancies to our attention. Your travel documents are valuable and should be safeguarded as if they were cash. It is not always possible to replace travel documents in the case of loss, theft, damage, etc.


Prior to booking international travel, we recommend that you review any Government prohibitions, warnings and advisories applicable to your destinations. By offering travel to a particular destination, we do not represent that travel to and in such destination, is safe or without risk. U.S. government advice for travel can be found at https://travel.state.gov/content/travel.html.


You further agree that, in connection with your activities, you will not permit the use of our services or website by anyone, that resides in, or is staying in a country for which such use is prohibited under U.S. regulations.


Passport, Visa and Immigration Requirements
It is your responsibility to fulfill the passport, visa and other immigration requirements applicable to your itinerary. You should confirm all necessary documents with the relevant embassies and/or consulates. We do not accept any responsibility in the case of you being unable to travel due to not complying with any such requirements.
You are also required to carry a valid International Student I.D., and International Youth I.D. or an International Teacher I.D. card if you are traveling on a special student/youth/teacher ticket. It is your responsibility to verify this with our Travel Expert who is assisting you.

 

TAXES AND FREQUENT FLYER PROGRAM 


Local travel and airport taxes and charges may apply in various overseas countries. Unless otherwise stated, these taxes are not included as part of the fees. Taxes and duties may need to be paid in local currency at the time of departure and are subject to change without notice. It is your responsibility to check with your airlines on whether your booking with us qualifies you for 
any points under any frequent flyer programs. Please retain all boarding passes to allow verification of your travel if required. 

LUGGAGE AND BAGGAGE INFORMATION 


In most cases, we sell products and services as an agent on behalf of airline carriers (Third Party Suppliers). STA Travel has no responsibility for products or services provided by any Third Party Suppliers. We give and make no warranty or representation regarding the standard of services or products supplied by Third Party Suppliers. Luggage and Baggage policies vary from airline carrier to airline carrier therefore if for any reason the airline is unable to provide the product/services you purchased through STA Travel, your remedy lies against the airline and not STA Travel (subject to any applicable legislation). Additional charges may apply by various airline carriers and are subject to change without notice. It is your responsibility to check the rules of the airline carrier initially accepting the baggage will apply. Various airline carriers have baggage embargo where excess, oversized, or overweight bags and all boxes are not permitted during peak periods of travel. Please note that even after full payment, the conditions of the contract between you and the Third Party Suppliers may permit them to charge further costs on baggage and this will depend on your ticket, mileage status and/or class of service.

Insurance
Travel insurance is a vital part of your arrangements. We strongly recommend that you have taken out adequate insurance for the duration of your journey. Travel insurance is a mandatory element of some travel arrangements. We may be able to arrange travel insurance quotes, and policies for you. Our Travel Experts can answer any queries you may have regarding insurance products we sell. 


ISIC

 

To be eligible for an ISIC card you must be: A full time student at school, college, language school, university or if you’re in higher education. There’s no maximum age limit, but the minimum age is 12 years. ‘Full-time’ means 12 weeks or more of study during one academic year. The ISIC card is subject to the eligibility requirements already mentioned and is conditional upon approval. ISIC card is presented in the form of a virtual card. Discounts and offers available via ISIC are subject to change at any time, without notice. Additional terms and conditions may apply to individual discounts. Each ISIC card is valid for up to 12 months, starting from the date of issue.

 

IYTC

 

To be eligible for an IYTC card you must be: Aged between 12 and 30 (inclusive). You will need to show us proof of your date of birth with a driver’s license, passport or birth certificate. You do not need to be a student. The IYTC card is valid for one year from the date of issue, so you need to apply for the IYTC card before your 31st birthday in order to be eligible for the card The IYTC card is subject to the eligibility requirements already mentioned and is conditional upon approval. The IYTC card is presented in the form of a virtual card. Discounts and offers available via ISIC are subject to change at any time, without notice. ITIC

 

To be eligible for an ITIC, you must be: A teacher, professor or instructor engaged in full time employment at an accredited educational establishment for a minimum of 18 hours per week and for a minimum of one academic year. The ITIC card gives you access to many of the same benefits and discounts as the ISIC card. Each ITIC card is valid for up to 12 months, starting from the date of issue. The ITIC card is subject to the eligibility requirements already mentioned and is conditional upon approval. The ITIC card is presented in the form of a virtual card. Discounts and offers available via ISIC are subject to change at any time, without notice. Additional terms and conditions may apply to individual discounts.


Travel Advice and Vaccinations
U.S. Citizens should refer to the travel advice posted by the U.S. Department of State at travel.state.gov for all the countries you intend to visit. Vaccinations may be required for some or all of the places you are intending to visit, or transit through. It is your responsibility to ensure that you have arranged all necessary vaccinations for your itinerary.


Airline use of Insecticide Spray
Some countries require insecticide spraying of aircraft prior to a flight or while you are on the aircraft.  Federal law requires that we refer you to the Department of Transportation's Information page on their website at the time of booking for further information.

Transportation of Hazardous Materials
Federal law forbids the carriage of hazardous materials aboard aircraft in your luggage or on your person. A violation can result in five years' imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives and radioactive materials. Examples: paints, lighter fluid, fireworks, tear gases, oxygen bottles and radio-pharmaceuticals.

 

There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in your luggage and certain smoking materials carried on your person. Use of our Services and Website
You agree you will only use our website or services to make legitimate reservations or purchases and shall not make speculative, false or fraudulent reservations or reservations in anticipation of demand. You will only use our website and services in compliance with applicable law.


Without our prior written permission, you may not (a) access, monitor or copy any content or information on our website using any "robot", "spider" or other automated or manual device or program, (b) deep link to any portion of our website, or (c) "frame" or incorporate any portion of our website into any other website.


Our website may contain links to third party websites that we provide only as a convenience to you. You should take precautions to ensure that whatever links you access are free of viruses, worms, trojan horses or other destructive mechanisms. The existence of these links does not imply that we endorse such websites or any included content. We are not responsible for such websites or content or any data privacy practices of such websites.


Indemnification
You agree to indemnify us and our Affiliates, and any of our suppliers, and any such parties' officers, directors, employees and agents from and against any claims, causes of action, demands, losses, damages, or other costs, (including legal and accounting fees) brought by you or third parties as a result of (a) your breach of this Agreement, (b) your violation of any law or rights of any third party, or (c) your use of our website.

THE INFORMATION, SOFTWARE, PRODUCTS, AND SERVICES PROVIDED BY US OR OUR SUPPLIERS OR PUBLISHED ON OUR WEBSITE MAY INCLUDE INACCURACIES OR ERRORS, INCLUDING PRICING ERRORS. WE DO NOT GUARANTEE THE ACCURACY OF, AND DISCLAIM ALL LIABILITY FOR ANY ERRORS OR OTHER INACCURACIES RELATING TO SUCH INFORMATION THAT APPEARS ON OUR WEBSITE. WE EXPRESSLY RESERVE THE RIGHT TO CORRECT ANY PRICING ERRORS ON OUR WEBSITE AND/OR ON PENDING RESERVATIONS MADE UNDER AN INCORRECT PRICE.
